Course Bookings Administrator based at the Resettlement Centre Aldergrove

Salary £21k + benefits

Working hours: Mon-Fri 8.30am – 5pm (37.5 hours)

Initial 12 month FTC with a view to becoming permanent

The Ministry of Defence and Right Management work together as the Career Transition Partnership (CTP) delivering comprehensive outplacement support to people leaving HM Forces.

The Administrator is a key client facing position working within the Course Booking and Information Centre at Aldergrove Resettlement Centre. You will be the first point of contact for our many clients, taking their bookings and queries by phone and email, providing up to date information and advice. You will also follow up with those who need to pay or confirm their bookings, and support our regional and national Vocational Training initiatives, whilst offering high quality customer service. You will be highly proficient in Microsoft Office, Excel, and experienced in using databases and web-based management systems.

Main duties covered are:

  • Take calls/emails and make appropriate bookings
  • Provide information to clients on all CTP courses
  • Check and update client details on management database
  • Refer client to appropriate colleague/department when relevant
  • Provide practical guidance to clients on all areas of the CTP website
  • Email course Joining Instructions at touchpoints as laid out in the Training Operating Procedures
  • Reconcile all payments monthly and produce reports plus invoices for Head Office & MOD
  • Pro-active approach to course fill rates; act on evidence and liaise with management accordingly
  • Process credit card details through an automated reader
  • Ensuring own and others’ compliance with procedures as laid down within the Business Management System
  • Any other reasonable requests commensurate with this level of role

Essential criteria Outstanding level of customer service

    • Strong IT Skills including ability to use MS packages
    • Excellent organisational skills and ability to multi-task
    • Good written and oral communication skills
    • Sound mathematical skills for charging and invoicing purposes
    • Flexible approach in the workplace and a strong team player
    • Ability to remain calm under pressure
