We are looking for an individual to join the Executive Assistant team and provide full administration and secretarial support to the ManpowerGroup UK Leadership Team whilst also managing the Office Co-Ordinators in the London Office.
In order to do this role you will need to develop effective relationships with all areas of the business including operational managers, Finance and HR. You will also be meticulous, organised, assertive, able to proactively manage your own workload and work to deadlines, whilst remaining upbeat and flexible.
This could be a real development opportunity for someone looking to understand and work across different areas of the ManpowerGroup business.
The ability to handle sensitive information, balance a number of conflicting priorities, pre-empting problems and being happy to get stuck in to resolve issues will be key to your success. Whilst being part of a close team, you will also be capable of working autonomously, be poised, polished and professional. There may be occasions when you will need to attend meetings and events that require you to be away from home, work during the evenings and also outside the core hours. The role also requires cover for the Executive Assistant team during holidays/sickness /meetings.
This role will also have the Office Co-Ordinator roles in the London Office reporting into them.
They would oversee the roles and ensure the smooth running of the Reception area and the Office functions This could include cover for both roles during holidays/sickness/meetings
Duties to include:
Preparing correspondence, emails and minutes from meetings.
Creating, formatting and amending documentation including, word & PowerPoint presentations
Liaising with clients Senior Executives directly and their PAs/EAs about meetings, events, and issues, and acting as the voice of the UK Leadership Team where appropriate.
Linking in with Senior ManpowerGroup individuals, in the UK, and Globally
Arranging Client meetings covering all aspects of the meeting from invite to catering for the meeting
Coordinating diaries on behalf of the UK Leadership Team and flagging up any issues
Project managing various events
Be involved in arranging National events i.e. Roadshows
Managing business and personal correspondence
Organising travel and accommodation
Running and coordinating projects for the UK Leadership Team and their respective teams
Organising meetings, preparing the necessary documents and attending to take minutes.
Attending weekly conference calls and taking and circulating minutes
Collating weekly/monthly data reports
Skills Required:
Minimum of 3 years experience working as an Executive Assistant at a Director / Executive level
Excellent communication skills, including excellent spoken and written English skills
Proficient in MS Office to include the production of PowerPoint presentations
Knowledge of Office365
Excellent time management skills
